1. Data controller

2. Personal data processed and purposes

• Contact form and email / phone / WhatsApp correspondence: name, company, email, phone and message content — to respond to your request, prepare quotations and manage the business relationship. Information sent via the form is forwarded to our company email address and kept in the website database for up to 24 months so that we can follow up on your request; it is then deleted automatically. To understand how your request reached us, the first page of your visit, the referring site and any campaign tags are recorded with the form.
• Structural inspection and testing services: name of the client’s representative, company and address details, machinery and vehicle details (plate, chassis and serial number) — to carry out the inspection, issue the report and meet legal retention obligations.
• Report verification page: the number you enter; to prevent abuse, an irreversible hash derived from your IP address is kept briefly (a few hours at most). The verification result shows the report’s company, machine and date details to anyone who knows the report number.
• Quotation and invoice verification page: the page opened by the QR code on a quotation, proforma or commercial invoice we sent you shows the document details only to someone who has the link. If you approve the quotation or request a revision, the name and note you enter are stored with the document record, together with a short irreversible hash derived from your IP address — to process your response and prevent abuse.
• Site security: server logs (IP address, date and time, requested page) — to ensure information security, for the hosting provider’s standard retention period.

3. Legal grounds

Your personal data is processed on the legal grounds set out in Article 5(2) of the KVKK: being directly related to the conclusion or performance of a contract (c), compliance with the controller’s legal obligations (ç), and the controller’s legitimate interests, provided your fundamental rights and freedoms are not harmed (f). Your explicit consent is also obtained on the contact form.

4. Transfers

Your personal data may be transferred, in line with Articles 8 and 9 of the KVKK, to our business partners and suppliers as required by the service, to competent public authorities under legal obligations, and to our website hosting and email service providers.

5. How data is collected

Data is collected electronically and on paper through website forms, email, phone, WhatsApp, face-to-face meetings and the inspection forms completed during our services.

6. Your rights

Under Article 11 of the KVKK, you have the right to learn whether your personal data is processed; to request information if it is; to learn the purpose of processing and whether data is used accordingly; to know the third parties in Türkiye or abroad to whom it is transferred; to request correction if it is incomplete or inaccurate; to request its deletion or destruction under Article 7; to request that such actions be notified to third parties; to object to an adverse outcome resulting solely from automated analysis; and to claim compensation for damage caused by unlawful processing.

You can send your request, together with information identifying you, by email to info@onb-tr.com or in writing to our address above. Your application will be concluded free of charge within 30 days at the latest.
